How do my distributors send data?
Typically, distributors transmit their sales data to us nightly in a specified file format. We then align and verify the data for each supplier to ensure accurate item reporting. Distributors prefer sending their sales data to a single secure source (like VIP), where item matching to each supplier is handled on their behalf.
What kind of data do you collect from distributors?
We collect five files from your distributor. We collect your distributor invoice level, sales, inventory, salesperson, and their customer universe (can-buy accounts).
Which of my distributors will send data to VIP?
A large majority of distributors nationwide report to VIP! Distributors do not need to use VIP's route accounting system to be able to send us daily reports. Once you've scheduled your meeting, send us an email with your list of distributors, and we can inform you about their current reporting capabilities.
How do you know the account type/channel of a retail account?
We have a team that manually validates all retail accounts and updates the list daily. Our master list of retail accounts is called VIPOUT, which gives you a cleansed view of all the classifications of accounts we have on record.
How frequently does the data come in? How long does it take to process?
Daily! Every night, we receive that day's sales from your distributors. The next business day, the data is validated and then populated into your environment. On average, it takes about 3 business days to see your most recent sales. For example, sales from Monday will be collected that night, processing will occur on Tuesday, and on Wednesday, you'll see the sales in your environment.
Can I set user permissions?
For most applications, yes. Users with administrator permissions can adjust which users are assigned to certain markets. Your VIP support team can assist with adding use licenses or limiting certain users' views to specific brands or markets.
What is the average implementation time for a new supplier?
Our typical implementation queue is around 6-8 weeks after we receive a signed contract. Our team of Implementation Specialists collaborates with each supplier, like yourself, to tailor their data environment to their specific business practices. Due to the high demand and complexity of suppliers joining VIP each month, our timeline can vary throughout the year.
Here is a rough estimate of what an implementation might look like. Depending on the complexity of the data setup, getting the data and training (steps 2 and 3) can run congruently for a more condensed timeline.
1. Queue to start the project, 6-8 weeks
2. Getting data feed set up from distributors, 8-12 weeks
3. Training and Usage, 4-8 weeks
How can I speed up my implementation time?
The implementation timeline is often influenced by factors beyond our control. However, there are several steps you can take to help ensure the process runs as smoothly as possible and to minimize avoidable delays. While you wait to be assigned an Implementation Specialist, you can:How does pricing work?
We charge a standard setup fee to cover the expenses of creating your environment, and regular billing occurs on a monthly basis. The majority of our contracts are adjusted according to your volume over the past 12 months and the number of active users.
When does billing start?
You will be charged a one-time setup fee before we begin building your environment. Your monthly billing will start after we have a distributor reporting.
How do I add more Sales Automation licenses?
Congratulations on expanding your team! There is no limit to the number of users you can add. Simply open a VIP Help center ticket and your support team will assist with new user creation.
